Description

The District Information Systems Specialist/Data Technician works closely with the building office staff, administration staff and our school district families to provide support with registration and information that is in our all district database.  This position is very customer service oriented and requires a person who can work with the public and provide accurate data entry and Excel reports as needed. Additional training, course work in computers and specialized software preferred and Skyward knowledge.

 

Position increased to include:

District Information Systems Specialist position 4 hrs/day and Data Technician for 2 hrs/day for

210  260 days/year working in the Business Office at the Administration Building. 

 

Beginning wage for the District Information Systems Specialist is $24.50 per hour.

Beginning wage for the Data Technician is $22.16 per hour.

          JOB DESCRIPTION - DISTRICT INFORMATION SYSTEMS SPECIALIST

 

JOB SUMMARY

 

The District Information Systems Specialist is responsible for support, training, and coordination of the District student records systems and related databases required for state reporting, testing, assessment, security issues, and third party products.

 

Reports to and evaluated by:                       Enterprise Database Supervisor

 

RESPONSIBILITIES

  • Provide consultation, training, and troubleshooting assistance to all staff regarding processes and procedures for entering and retrieving data in the Skyward Student Management systems
  • Coordinate data mapping and data mining processes associated with District databases.
  • Provide technical assistance for interfacing with third party databases and assist user access to third party databases.
  • Coordinate data collection, archiving, retrieval, and use of student management software to meet the District’s needs. This includes developing reporting methods and coding methods to assure consistent and accurate information is entered into the system.
  • Provide technical assistance to those responsible for retrieving student records for state or federal reports and for District testing and assessment efforts.
  • Generate ad-hoc reports as requested from administration.
  • Coordinate training for existing staff and new staff to ensure and maintain consistent record keeping within the District. This includes both cumulative folders and computer files to meet legal requirements.
  • Assist any part-time or temporary employees required for data entry.
  • Assist with managing security, confidentiality and access issues relating to student records on computerized systems.
  • Coordinate with the Enterprise Database Supervisor to ensure all reporting regulations from the state and local agencies regarding student’s records are met.
  • Perform other duties relating to information systems as assigned.

QUALIFICATIONS

  • Education: Bachelors Degree or equivalent work experience (minimum 5 years) with computerized record systems required. Additional training and course work in computers and specialized software preferred.  Additional experience in a support position requiring effective human relation skills a plus.
  • Ability and experience operating a variety of computer and office equipment.
  • Experience training individuals on computer software.
  • Excellent communication skills.
  • Experience setting priorities and working independently on complex tasks.
  • Demonstrated mastery using word processing, spreadsheets, databases, plus other standard office software.
  • Accurate keyboarding (40 wpm) and calculator skills.

GENERAL DESCRIPTION

 

The position is responsible for supporting accurate data collection and reporting using the Student Management System and related databases required for accurate state and federal reporting requirements.

 

Reports to and Evaluated by:          Director of Finance and Operations or Designee

           

RESPONSIBILITIES

  • Assist the District Information Systems Specialist (Enterprise Database Supervisor) and building level personnel managing data related to the District student records systems.
  • Assist centralizing registration procedures for all sites.
  • Assists with reporting requirements by providing accurate data as requested.
  • Assist in developing procedures to ensure consistent reporting and dissemination of data.
  • Work closely with the District Information Systems Specialist on data collection, archiving, retrieval, and use of student data to meet the District’s needs.
  • Provides technical assistance and training to those responsible for retrieving student records for State and Federal reports.
  • Generate ad-hoc reports as requested.
  • Assist with the preparation of annual reports.
  • Research, prepare and deliver district records for legal purposes, CPS, and public or private entities as appropriate.
  • Ensure all reporting regulations from the State and local agencies regarding student’s records are met.
  • Manage photocopies, FAX, and microfiche records as required.
  • Maintain strict confidentiality per laws concerning student records.
  • Perform other duties relating to information systems as assigned.

QUALIFICATIONS

  • Education: High School Diploma
  • Experience (minimum 2 years) with computerized record systems required. Additional training and coursework in computers and specialized software preferred. Additional experience in a support position requiring effective human relation skills a plus.
  • Ability and experience operating a variety of computer and office equipment.
  • Experience training individuals or groups preferred.
  • Excellent communication skills.
